Job Description

Western State Hospital (WSH) is recruiting for an Administrative Assistant to serve the HR Director and to provide program support to all functional areas of the Human Resources administration. Typical duties include database management, tracking and monitoring information and data, filing documents, creating reports, managing employee programs and assisting in management of personnel records. This position provides reception back up. Hours: 8am to 5pm (Mon. - Fri.)

Minimum Qualifications

The successful applicant must have demonstrated knowledge of office practices and include correct telephone protocol.
Must have demonstrated experience and knowledge demonstrating skill in the use of computers, complex database systems, Microsoft Office and various software, to include the ability to learn state and internal systems. Previous experience in pulling raw data, preparing reports using Excel and articulating results is required. Must have demonstrated knowledge of the proper use of grammar, spelling and punctuation in the preparation of correspondence, spreadsheets and various documents. The successful candidate will have demonstrated experience in interacting with diverse internal and external customers, providing customer service via phone, email or face-to-face while maintaining confidentiality. Demonstrated experience in maintaining filing systems and retaining records is required. Work experience demonstrating the ability to work independently with minimal supervision, as well as with a team, is required. Experience demonstrating the ability to meet deadlines in a fast-paced work environment is a must.

Preferred Qualifications

A degree from an accredited technical school, college or university with a major in Business Administration or a related discipline is strongly preferred. Knowledge of human resource policies, practices, laws, and procedures is preferred. Working knowledge of accounting, budgeting, procurement/purchasing procedures and policies is preferred. Bi-lingual in Spanish is preferred.

Special Requirements

The successful applicant must pass a criminal background investigation, drug screening test and employment reference check. The applicant must have the ability to perform at the level of physical demands noted on the Employee Work Profile and the verified ability to perform the essential functions of the position.
